Events Terms & Conditions

1. Acceptance of Terms

By creating an organiser account or registering for an event on EVENTS by Re-call.me, you agree to these Terms. If you do not agree, do not use the service.

2. Service Description

EVENTS by Re-call.me provides tools for organisers to create event pages, collect registrations, issue Apple Wallet and Google Wallet tickets, accept payment instructions, and scan tickets at the door. The service is separate from the main Re-call.me professional identity product.

3. Active Event Limit

Each organiser may hold up to 6 active (non-archived) events at a time. When the limit is reached, you must archive an existing event before creating a new one. Archived events are listed separately in Event Hub.

4. AI Generations

AI text and hero image generations are provided as a convenience and may incur third-party compute costs. Each event allows up to 5 AI text variants and 5 AI hero images. Unsaved AI image variants are permanently deleted from our servers when you save the event. You are responsible for ensuring generated content is appropriate for your guests and does not infringe third-party rights.

5. Photos & Hero Images

By uploading hero images or using AI-generated artwork, you grant us a licence to store, resize, convert (including to WebP), and display those images for your event pages and Wallet tickets. Hero images are optimised to 1024×512 WebP. Do not upload unlawful or infringing material.

6. Payments

EVENTS by Re-call.me does not process card payments on your behalf for ticket sales. Organisers may offer bank transfer instructions, external payment links, and/or pay-at-the-door. You are responsible for confirming payments, refunds, and compliance with applicable consumer law.

6a. Payments and Refunds — Non-Refundable Policy

All services provided by EVENTS by Re-call.me, including but not limited to AI-generated content (text and images) and Email Invitation Campaigns, are non-refundable.

By initiating a payment, you acknowledge and agree that the service is rendered immediately upon execution — AI generation begins at the moment the request is submitted, and email dispatch begins immediately after payment confirmation. Therefore, the right of withdrawal and refund is waived for these digital services once the transaction has been initiated.

This policy is consistent with Article 16(a) of the Consumer Rights Directive 2011/83/EU, which permits waiver of withdrawal rights for digital content supplied immediately with the consumer's prior express consent.

6b. Platform Communications

To keep you informed about platform updates, new features, and important notices, we may send system broadcast emails to organiser accounts. These communications will be sent no more than once every 14 days. You may contact us at info@re-call.me to opt out of non-essential communications.

7. Data Retention (Archived Events & Inactive Accounts)

After you archive an event:

  • 30 days — hero image files are removed from our servers and replaced with a placeholder.
  • 90 days — guest personal data (name and email) on tickets is permanently redacted. Anonymous registration counts remain for statistics.

Up to 20 archived events are retained per organiser; older archives may be deleted earlier when that cap is exceeded.

Inactive organiser accounts: Accounts without active events (at least 2 participants) for more than 180 days are subject to permanent deletion. We email warnings 7, 3, and 1 day before removal. Partner-protected and system accounts are exempt.

ACCESS by Re-call.me: Booking records, digital keys, and unlock logs are retained for 90 days then permanently deleted. See the dedicated Access Terms & Conditions and export CSV archives from the Access dashboard.

Smart Access & Installation Data Retention Policy (UK GDPR Compliant)

1. Installation Survey Media: Photographs of doors, locks, frames, and power proximities uploaded during the installation booking survey are retained solely for engineering review. All survey media files are permanently and irreversibly unlinked and purged from our server storage exactly 90 days following marked installation completion, or after 30 days for unconfirmed, abandoned orders.

2. Digital Access Passes & Guest Privacy: In strict compliance with the UK GDPR and the Data Protection Act 2018, all guest personally identifiable information (including guest email addresses and telephone numbers) attached to expired digital access credentials is automatically redacted and anonymised exactly 90 days post-departure (after the scheduled valid-to check-out date).

3. Physical Entry & Unlock Logs: Physical door unlock logs, relay trigger timestamps, and security audit trails are preserved for an operational retention window of 90 days from generation, after which they are permanently cleared from database records. Property owners, hosts, and venue managers are solely responsible for downloading periodic CSV audit exports from their dashboard to maintain long-term archives for taxation (HMRC), accounting, or private security compliance.

8. Organiser Responsibilities

You are responsible for the accuracy of event details, door policies, staff PIN security, and how you use guest data collected through registration. Do not use the platform for unlawful events or prohibited content.

9. Account Closure

You may close your organiser account from Event Hub. Closure permanently deletes your organiser profile, events, tickets, and associated hero files where stored on our servers.

10. Limitation of Liability

EVENTS by Re-call.me is provided “as is”. We are not liable for indirect, incidental, or consequential damages arising from use of the service, including door entry disputes, payment disputes between organisers and guests, or third-party Wallet platform behaviour.
